Why we use it, and the lawful basis
- To run training, trials and camps and manage your account and payments — to perform our contract with you.
- To keep children safe, including medical information and emergency contacts — to protect your child’s vital interests and, for health data, with your explicit consent, which you give with a separate tick box when you tell us about a medical condition.
- To contact you about sessions, schedule changes and your booking — contract and legitimate interests.
- Photos and videos of your child — only with your consent, which you can withdraw at any time.
- To understand how the website is used and measure our advertising — only with your consent, given in the cookie banner.
- To meet legal duties such as accounting, safeguarding and insurance — legal obligation.
Who we share it with
We never sell personal data. We share it only with service providers that help us run the club:
- Stripe, for payments
- Our website hosting and email delivery providers
- Google (Analytics, Tag Manager and Ads) and Meta (Facebook pixel), for website statistics and advertising
- Sentry, for error reports that help us fix the website
We may also share information with the emergency services, local children’s services or the police where the law requires it or a child is at risk. Some providers process data outside the UK; where they do, they use safeguards approved under UK data protection law.
Cookies
The website uses essential cookies to keep you signed in and secure; these don’t need your consent. Google (Analytics, Tag Manager and Ads) and Meta (Facebook pixel) cookies for statistics and advertising are only set if you choose Accept in the cookie banner. If you choose Reject, those scripts never load.
You can change your choice at any time with the cookie settings link here or in the footer.
How long we keep it
We keep personal data for 3 years after membership ends, then delete it securely, unless the law requires us to keep it longer. If you book a free trial or a camp but don’t become a member, we keep those details for 3 years from the trial or camp date.
Your rights
You can ask to see, correct or delete your data or your child’s, object to or restrict how we use it, withdraw consent, and receive a copy in a portable format. Email info@konevych-fdc.co.uk and we will reply within one month.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk.
